The Executive Administration Assistant, under minimum supervision, will perform advanced, diversified, and confidential administrative duties to support the senior executive. Assignments are of a confidential nature and require broad and comprehensive experience, skill, and knowledge of organizational policies and practices and company products. 
Responsibilities

  • Perform diverse and complex administrative duties using initiative, judgment, and technical skills.
  • Create and update marketing customer database
  • Responsible for distribution of periodic customer mailings
  • Coordinate departmental information meetings
  • Support SVP’s in creation and updating of power point presentations and organization charts
  • Manage and schedule daily calendar and business activities.
  • Review expenses throughout organization for SVP's approval.
  • Use sound judgment to maximize time and effectively schedule meetings and appointments.
  • Manage projects, including follow up with contributors/ subject matter experts and ensure timely and accurate completion.
  • Make complex domestic and international travel arrangements.
  • Interact and establish relationships with outside customers, high-level executives, and administrative assistants.
  • Screen e-mail and incoming mail and respond to routine inquiries accordingly.
  • Coordinate internal and external business meetings and logistics. Prepare agenda, reports, and other materials as needed.
  • Independently gather, compile, and analyze information from multiple sources to prepare reports or correspondence.
  • Handle personal tasks including scheduling activities and events, and making personal travel/concierge arrangements.

Requirements:

  • Advanced Business school and administrative training preferred or the equivalent combination of education and experience.
  • Ten or more years of experience in an administrative role of which, at least 3-5 years of experiencesupporting a senior executive
  • Proficiency in all Microsoft Office applications
  • Ability to succeed in a fast paced environment
  • Knowledge of SalesForce an advantage
